What some common reasons why 9902 reporting may be wrong?
- Duplicate Clients
- Creating a new client for
each case (will work but not intended to be used this way)
- Unintentionally creating
duplicate cases due to inability to see new client in search box during
session (must either look to bottom of search box or refresh browser)
- Duplicate Cases
- Case is closed then new
case started instead of re-activating case (same client has two identical
services)
- Change of service path
instead of resolving and starting new case
- Client starts as Edu
service path, then goes on to counseling – Counselor changes service path
to counseling without resolving Edu – Edu case is not reported on 9902.
- Entering clients in the
Interface when they should have used legacy interface
- Cluster of clients show
up in periodic 9902 or annual 9902 due to inaccurate file create / case
create date.
- Opening resolved clients
to add additional information, then resolving again, thereby changing the
resolve date (inaccurate).
- When near end of
reporting cycle (year end) closed client in prior reporting year, opened
in new reporting year to add data (i.e. closing data) will now appear in
current reporting cycle due to changed res date:
- Preferred method – use
admin/case management
- Edu Cases not resolved –
don’t show up on 9902
- HUD clients do not show up
in HUD activity on 9902
- Forgot to check HUD
activity checkbox in Intake
- No HUD Number
- Org does not use calendar
to track counseling appointments, therefore, system does not offer
assignment of HUD number
- Use admin/case management
to activate or de-activate HUD activity check box (mutually exclusive for
Edu and Counseling)
- Clients inaccurately show
“mortgage ready” period:
- This is calculated by ‘Case Term’ (Intake) plus date intake last modified
- Clients who attend classes are not showing up in Section 6
- Class courses must be associated with a 'resolution'.
- Remedy – Click on the 'Admin Menu', click 'Education', click 'HUD 9902 Course Resolutions'.
